Improving coordination and reporting for a funded community programme

The situation
A consultancy delivering a multi-year, funded community programme needed a clearer and more reliable way to track participation, time contributed and voucher allocations.
Information was being managed manually across different spreadsheets and communications, which made monthly reporting slower and increased the risk of errors or duplicated work.
What I Delivered
I reviewed the existing process and introduced a more structured way to capture, track and manage programme information.
This included:
-
Managing programme correspondence with external stakeholders
-
Designing a central tracking system for participation and hours
-
Creating a consistent process for calculating voucher allocations
-
Introducing simple forms to capture participant preferences in a clear and repeatable way
-
Organising information so it could be reviewed and reported without repeatedly reworking spreadsheets
The focus was on creating a practical system the team could use day to day, while improving visibility and reducing unnecessary manual handling.
What changed
-
Participation and contributed hours became easier to track and review
-
Voucher calculations became more consistent and reliable
-
Monthly reporting required less manual checking and reworking
-
Information could be shared more confidently with stakeholders
-
The team had a clearer operational process to return to each month
Why this mattered
The new process reduced administrative effort, improved reporting accuracy and made it easier to manage participant information and voucher allocation consistently.
It also created a clearer operational foundation for a programme that needed to be managed over several years, rather than relying on temporary or fragmented processes.
