Operational delivery of  in-person events
The situation

​A growing organisation delivering programmes and events in partnership with established institutions needed reliable operational oversight to ensure in-person delivery ran smoothly.

What I delivered

As part of the core operations function, I took responsibility for planning and overseeing the delivery of several in-person events, including a flagship event hosted at a major UK institution.

This included:

  • End-to-end event planning and logistics

  • Liaising with venues, speakers and external stakeholders

  • Preparing and coordinating event materials and presentations

  • Building, briefing and managing volunteer teams

  • Coordinating practical requirements, including catering and venue arrangements

  • Being present on the day to oversee delivery and resolve issues in real time

  • Using and developing templates, checklists and working processes to create a more consistent approach to event delivery

 

Alongside individual events, I built up practical information and resources that could be reused — from venue and stakeholder contacts through to suppliers, catering options and costs — making it easier to plan future events without starting from scratch.

What changed​
  • Events ran smoothly with clear coordination across everyone involved

  • Volunteers and team members had clearer roles, information and expectations

  • Templates and processes created a more consistent way of planning and delivering events

  • Useful supplier, venue and stakeholder information became easier to reuse

  • Short-notice opportunities could be approached with an established process rather than building the operational setup from scratch

  • Delivery became more organised and less reactive as the organisation's events grew in scale and complexity

 
What’s next

As part of the organisation's wider strategic review, I’m now reviewing and updating the existing event processes, templates and supporting resources to ensure they remain fit for how the organisation is developing.

 

This sits alongside wider work to improve how member information is captured and structured, strengthen reporting for funding, and support future event planning and engagement.
